The Waiting Game: How to Track Your Student Visa Application
After weeks of document preparation, financial planning, and application submission, you enter what is arguably the most stressful phase of the study abroad process: waiting. Your visa application is somewhere in the system, being reviewed by an officer you will never meet, and the outcome will determine whether your education plans proceed or collapse. The uncertainty is compounded by the fact that most embassies and immigration departments provide minimal information about the status of individual applications.
This guide covers how to track your student visa application for every major destination, what the different status messages mean, when to worry (and when not to), and what recourse you have if your application seems stuck.
United States: F-1 Visa Status Tracking
CEAC Status Check
After your visa interview at the US Embassy or Consulate, you can track your visa application status through the Consular Electronic Application Center (CEAC):
- Website: ceac.state.gov/CEACStatTracker
- What you need: Your DS-160 application ID number (barcode number from your DS-160 confirmation page) and the location where you applied
- Status messages and what they mean:
- "Issued": Your visa has been approved and is being printed/stamped. You will receive your passport with the visa stamp shortly.
- "Administrative Processing": Your application requires additional review. This can take 2-8 weeks (or longer). Common for applicants in sensitive technology fields, those with previous denials, or cases requiring background checks. You cannot expedite this -- it is a security review process.
- "Refused": Your visa has been denied. The reason code (usually 214(b) or 221(g)) indicates why.
- "Ready": Your passport is ready for collection or has been dispatched for delivery.
VFS Global Passport Tracking
If your visa was approved, your passport is returned through VFS Global. Track the passport delivery at:
- Website: ustraveldocs.com/in (status tracking section)
- SMS notifications: VFS sends text messages to your registered phone number at key stages
- Email notifications: Updates sent to your registered email
When to Worry
- "Administrative Processing" for more than 8 weeks: Consider contacting the embassy through the designated enquiry channels
- "Refused" with 221(g): This is a request for additional documents, not a final denial. Submit the requested documents promptly.
United Kingdom: Student Visa Tracking
UKVI Tracking
Track your UK Student visa application through the UKVI (UK Visas and Immigration) tracking service:
- Website: visa-tracking.service.gov.uk
- What you need: Your GWF (Global Web Form) reference number (starts with GWF followed by 9 digits), date of birth, and email address used in the application
VFS Global Tracking (India)
Applications submitted through VFS Global in India can also be tracked through:
- Website: vfsglobal.com/en/individuals/track-application.html
- What you need: Your VFS reference number (provided at the biometric appointment)
- Status messages:
- "Application Received": VFS has received your documents and forwarded them to UKVI
- "Under Consideration": Your application is being reviewed by a UKVI decision maker
- "Decision Made": A decision has been made. This does not tell you whether it is approved or refused -- you will find out when you collect your passport.
- "Ready for Collection" / "Dispatched": Your passport is available for collection at the VFS centre or has been sent via courier
Contacting UKVI
If your application exceeds the standard processing time:
- Paid enquiry service: Email or phone enquiry through the UKVI contact centre. Fees apply (typically GBP 2.74 per email or GBP 1.37 per minute for phone calls).
- Escalation complaint: If processing has significantly exceeded the published timeline, you can submit a formal complaint through the Home Office complaints procedure.
- MP (Member of Parliament) assistance: Some Indian students in the UK (for extension applications) or applicants with UK-based sponsors have asked UK MPs to make enquiries on their behalf.
Canada: Study Permit Tracking
IRCC Online Account
Track your Canadian study permit through your IRCC online account:
- Website: ircc.canada.ca (sign in to your account)
- What you need: Your IRCC online account credentials (the same account used to submit your application)
- Status messages:
- "Application received": IRCC has received your application
- "Biometrics collection letter sent": You need to provide biometrics (if not already done)
- "Medical results received": Your medical examination results have been received
- "We started processing your application": Your application is in the review queue
- "A decision has been made on your application": Check your account for the decision letter
- "Original Passport Request (OPR)": You have been asked to submit your passport for visa stamping -- this is effectively an approval
Processing Time Tool
IRCC provides an online processing time tool that shows current estimated processing times based on application type and country of residence:

- Check this regularly as processing times are updated monthly
Webform Enquiries
If your application has exceeded the published processing time, you can submit a webform enquiry:

- Do NOT submit webform enquiries before the published processing time has elapsed -- they will not be prioritised and may actually slow processing.
Australia: Subclass 500 Visa Tracking
ImmiAccount Tracking
Track your Australian student visa through ImmiAccount:
- Website: online.immi.gov.au
- What you need: Your ImmiAccount login credentials
- Status messages:
- "Received": Application has been received by the Department of Home Affairs
- "Initial Assessment": Your application is being reviewed for completeness
- "Further Assessment": Additional review is underway (may involve health checks, character checks, or Genuine Student assessment)
- "Finalised": A decision has been made. Check your ImmiAccount and registered email for the decision letter.
VEVO (Visa Entitlement Verification Online)
Once your visa is granted, you can verify your visa details through VEVO:
- Website: immi.homeaffairs.gov.au/visas/already-have-a-visa/check-visa-details-and-conditions/check-conditions-online
- Provides visa status, conditions, expiry date, and work rights
Contacting the Department
If your application exceeds the published processing time:
- Online enquiry form: Through ImmiAccount or the Department's contact page
- Global Service Centre: Phone enquiry (charges apply from India)
- The Department generally does not provide updates on applications within the published processing timeframe
Germany: Visa Status Tracking
Limited Online Tracking
German embassies in India provide limited online tracking compared to other countries:
- Some consulates provide tracking through VFS Global (if VFS handles your application)
- Others provide no online tracking -- you must contact the embassy directly
Contacting the Embassy
- Email enquiry: Contact the visa section of the German Embassy/Consulate where you applied. Response times: 1-3 weeks.
- Phone enquiry: Limited phone access -- most embassies prefer email
- VFS Global: If your application was submitted through VFS, track via their portal
What to Expect
German visa processing is notoriously opaque. You may receive no updates for 6-8 weeks, then suddenly receive a notification that your visa is ready. This lack of transparency is frustrating but normal.
Japan: COE and Visa Status
Tracking
- COE processing status is tracked through your Japanese university -- they submitted the application and receive the result
- After receiving the COE and submitting the visa application, the Japanese embassy processes it in 3-5 working days with minimal tracking needed
- Contact the embassy directly for visa status if needed
Ireland, France, and Other Countries
Ireland
- Track through the AVATS (Automated Visa Application Tracking System) at visas.inis.gov.ie
- Provides basic status updates: received, under consideration, decision made
France
- Track through the TLS Contact / VFS Global portal used to submit your application
- Campus France provides updates on the pre-validation stage
Universal Tracking Tips for Indian Students
1. Keep Records of Everything
- Save your application receipt numbers, tracking IDs, and confirmation pages
- Screenshot your online status regularly
- Keep a timeline document noting when you submitted your application, when status changes occurred, and any correspondence
2. Understand Published Processing Times
Every country publishes estimated processing times. These are estimates, not guarantees. Key distinctions:
- "Working days" vs "calendar days" -- 15 working days is 3 calendar weeks, not 2
- "From" dates: Processing time usually starts from the biometric appointment date (not the online submission date)
- Peak season times may be longer than published averages
3. When to Contact the Embassy/Immigration
- Do NOT contact before the published processing time has elapsed. Premature enquiries clog the system and may actually slow processing.
- DO contact if: Your application has significantly exceeded the published processing time (by 2+ weeks), you have received no status updates, or your programme start date is imminent.
- Be polite and specific in your enquiry. Include your application number, submission date, and the reason for your concern.
4. Do Not Panic at "Administrative Processing" or "Under Consideration"
These statuses are normal and do not indicate a problem. Most applications go through these stages before a decision is made. Only start worrying if the status does not change for significantly longer than the published processing time.
5. Prepare for Delays
- Do not book non-refundable flights before receiving your visa
- Inform your university's international office if your visa is delayed -- most universities can arrange late arrival accommodations
- Have backup plans for the first few days of the semester if you arrive late due to visa processing delays
6. Email Templates for Enquiries
When contacting an embassy or immigration authority about a delayed application, include:
- Your full name as it appears on your passport
- Application/reference number
- Date of application submission
- Date of biometric appointment (if applicable)
- Programme start date and the urgency of the timeline
- Published processing time and how long it has been
- A specific, polite request ("I would appreciate an update on the status of my application")
7. VFS Global vs Direct Embassy
VFS Global is a visa application outsourcing company, not a decision-making body. VFS collects documents, biometrics, and returns passports. They cannot provide information about the decision itself. For substantive queries about your application status, you need to contact the embassy/immigration authority, not VFS.
What Does Each Status Actually Mean?
Positive Signals
- "Original Passport Request" (Canada) -- practically an approval
- "Issued" (US) -- approved and being stamped
- "Decision Made" followed by passport collection instructions
Neutral Signals (Normal Processing)
- "Under Consideration" / "Under Review" / "Being Processed"
- "Administrative Processing" (US) -- usually 2-8 weeks, can be longer
- "Further Assessment" (Australia)
Concerning Signals
- Status unchanged for significantly longer than published processing time
- Request for additional documents (may indicate concerns but is not a denial)
- "Refused" (check the specific refusal code for next steps)
Visa tracking is an exercise in patience. The most important things you can do are submit a complete application, apply early enough to absorb processing delays, and resist the urge to bombard the embassy with premature enquiries. The visa will come -- your job is to manage the timeline so that delays do not derail your plans.
